We are now looking for a methodical, detail-focused and reliable MIS Lead to support the accurate management of learner data across MediPro’s systems.
The opportunity: MIS Lead Full-time (part-time considered)
This is an important role within our education and operations team.
As MIS Lead, you will help ensure that learner data is accurate, funding records are compliant and our systems reflect the true learner journey.
You will support monthly ILR returns, maintain accurate records within Aptem, complete data checks, review validation reports and support preparation for audit and year-end hard close.
This role would suit someone with strong administrative experience, excellent attention to detail and a good understanding of learner data, apprenticeships, ILR returns or further education systems.
What you’ll do
You will:
- Input, maintain and update accurate learner data within Aptem and associated systems.
- Support monthly ILR submissions, ensuring learner starts, changes, completions and withdrawals are recorded correctly.
- Help resolve ILR errors, validation issues and data queries before submission deadlines.
- Support preparation for R14 hard close, ensuring learner statuses, completion data and achievement records are accurate.
- Run regular data checks using ILR validation reports, rule violation reports and system-generated error logs.
- Investigate and correct data errors in line with funding rules and internal processes.
- Review PDSAT reports to identify data anomalies, funding risks and compliance issues.
- Maintain a clear log of PDSAT findings and actions taken.
- Record learner lifecycle changes, including starts, breaks in learning, withdrawals, restarts and completions.
- Ensure learner records are aligned with supporting documentation, including training plans, reviews and funding evidence.
- Support the correct recording of off-the-job training, price changes, funding adjustments and employer changes.
- Maintain accurate learner records in Aptem, including enrolment details, programme structure, milestones and progress information.
- Support colleagues with basic system queries and correct use of data fields.
- Assist with audit preparation by extracting data, providing evidence and helping ensure records are complete and traceable.
- Produce routine reports covering learner numbers, programme status, funding data and performance information.
What you’ll bring
You will have:
- Experience in an administrative, data-focused or compliance-related role.
- Experience working with spreadsheets, databases or learner management systems.
- Strong attention to detail and accuracy.
- Confidence handling large volumes of data.
- Good IT skills and the ability to learn new systems quickly.
- Confident use of Excel, including filters, sorting and basic formulas.
- The ability to follow structured processes and meet strict deadlines.
- A methodical and organised approach to work.
- The confidence to question, investigate and correct data issues.
- Professional discretion when handling sensitive learner and employer information.
Experience in further education, apprenticeships, work-based learning or training provision would be highly beneficial.
Knowledge of ILR returns, apprenticeship funding rules, PDSAT, validation reports or R14 hard close would also be an advantage.
Experience using Aptem or a similar learner management system would be desirable.
